  • All candidates, contractors, temporary workers, and employees placed by Smart Staff Connect.
  • Any person working under our direction or representation.
  • Clients and third parties interacting with individuals placed by us.

While the policy primarily addresses our internal and placed workforce, we extend its principles to ensure our clients, customers, and external partners treat individuals with respect and dignity.

Definitions of Inappropriate Behaviour

Bullying

Bullying involves offensive, intimidating, or malicious actions that harm or undermine an individual. Examples include:

  • Verbal or physical threats.
  • Persistent negative feedback without justification.
  • Cyberbullying via emails or social media.
  • Exclusion or assigning meaningless tasks deliberately.

Harassment

Harassment refers to unwanted behaviour that creates a hostile or offensive environment. It may include:

  • Insults, slurs, or derogatory remarks.
  • Physical intimidation or damage to property.
  • Sharing or displaying offensive materials.

Sexual Harassment

Sexual harassment involves unwanted conduct of a sexual nature that affects an individual’s dignity or workplace environment. Examples include:

  • Sexual comments, jokes, or innuendos.
  • Inappropriate touching or advances.
  • Sharing explicit materials or making propositions.

Discrimination

Discrimination arises from unfair treatment due to protected characteristics such as age, gender, race, disability, or religion. Examples include:

  • Refusing opportunities based on bias.
  • Indirect policies disadvantaging certain groups.
  • Unjust treatment based on perception or association.

Victimisation

Victimisation occurs when someone is mistreated for reporting or supporting a complaint of misconduct. Examples include:

  • Exclusion from projects or activities.
  • Retaliation through negative feedback.

Microaggressions

Microaggressions are subtle, often unintended, acts of bias or discrimination. Examples include:

  • Stereotypical questions or comments.
  • Disrespectful gestures or dismissive behaviour.

Banter

While light-hearted exchanges can be healthy, banter should never cross into disrespectful or harmful territory. Even jokes can be hurtful when they target an individual’s characteristics or make them uncomfortable.

Reporting Concerns or Incidents

When the Issue Involves a Co-worker or Manager

  • Attempt informal resolution by addressing the individual directly.
  • Seek support from your Smart Staff Connect representative.
  • If unresolved, escalate through our formal grievance procedure.

When the Issue Involves a Client, Contractor, or Third Party

  • Report incidents immediately to your contact at Smart Staff Connect.
  • We will liaise with the third party to address and resolve the issue.

When the Issue Involves a Client

  • Notify your manager or Smart Staff Connect representative.

Handling Complaints and Ensuring Confidentiality

Complaints will be managed sensitively, with confidentiality maintained wherever possible. Anonymous complaints are accepted, though anonymity may limit the actions we can take. Smart Staff Connect ensures no retaliation against individuals who report concerns in good faith.

To support those affected, Smart Staff Connect provides access to:

  • A confidential Employee Assistance Program.
  • Guidance from grievance and disciplinary teams.
  • Information on diversity, equity, and inclusion.
